Billing for your hotel or restaurant in Kerala
Meals at noon, parotta at night and the parcel counter, all billed on your phone.

Tools for a meals-and-parotta hotel
Godown stock
The big store room behind the kitchen, where the rice sacks and coconuts sit, counted apart from the small rack by the stove, so the cook asks the phone before the boy goes to the market.
UPI payments
A QR at the parcel shelf, where the office boy collects the department's boxes and pays by phone while the cook ties the string.
Offers for regular customers
A discount for the diners who eat their lunch with you every working day, given at the counter.
Daily reports
On the sadya day the meals and the parcels sit on lines of their own.

Why a Kerala hotel counts three kinds of customer at the same counter
The cooking gas moves, the board outside does not
When the commercial cylinder rose in May 2026 and the hotels called a shutdown, every plate cost more to make overnight. The tea, the meals and the parotta each use the gas differently, but the board outside still shows yesterday's price on all three until you find time to change them.
A big table, a limit on UPI and one bill
Families come on a Sunday and ask for one bill for the whole table. If your hotel has stopped taking large UPI payments, the family pays part in cash and part by phone, and the one bill does not say how. At night the drawer and the phone do not match the day's list of tables.
Lunch parcels for the offices, and the sit-down meals
At noon one cook packs parcels while the tables eat, and the offices nearby send a boy to collect lunch for the whole department. Some send the count by message the evening before and some only by the boy's word, and the cook decides how much rice to put on from a guess.

From the gas cylinder's new rate to the big table's two bills
Last year's sadya day open beside this year's
The sadya day brings one fixed meal at one rate to hundreds of people. When the next one comes, open the same day of last year on your phone, see how many meals went out and cook the rice to that count, not to a guess.
One bill for the department's lunch, sent to the office on WhatsApp
The office that sends a boy to collect lunch for the whole department gets one bill in its name, shared on WhatsApp. Its clerk has the figure before the boy is back, and the bills of the week sit together on the office's page.
The department's lunch order waits on the phone overnight
The department sends its lunch count in the evening, and the order is on your phone before the cook goes home. In the morning the boxes are packed to that count, and the office boy collects the number that was ordered, not a number he remembers.
Rice, spices and sweets: where a Kerala hotel's kitchen gets its goods
A hotel in Kerala cooks with what the districts around it grow and trade.
- Paddy in Palakkad is concentrated in the Chittur, Alathur, Kuzhalmannam, Kollengode, Nenmara and Palakkad blocks, where 3,000 kg a hectare is common.
- Broadway Market in Kochi is a busy wholesale market for spices and dry fruits, and Mattancherry Spice Market sells pepper, cardamom, cloves and cinnamon.
- S.M. Street in Kozhikode is one of the busiest streets for sweets, textiles, electronics and spices.
- Kollam lives on cashew processing and coir, and the state cashew corporation runs 34 factories there.
Questions Kerala hotel and restaurant owners ask
On the sadya day the second seating sits down while the first is still eating. Can I keep the two apart?
Yes. Make a bill for each seating, with the number of meals on it. The day's list then shows both seatings, so you know how many meals were laid for the second.
An office changes its lunch count after the cook has begun. What happens to the order?
The order on your phone is the count the office sent. When it changes, make the bill for the final count when the parcels leave, and the first count stays beside it on the page, so the cook and the clerk can both see what changed.
The Sunday family wants payasam to carry home. Can it go on their bill as a parcel?
Yes. Make the payasam bowl at the table and the payasam parcel two items, each with its own rate. Add the parcel to the family's bill, and the day's list counts each.
The cylinder came in dearer. Which dishes do I change first?
The ones that stay longest on the stove: the parotta and the meals' curries before the tea. Open those dishes one by one and change their rates. Bills made earlier keep the old rate.
Parotta is sold by the piece and the salna by the bowl. Can both be on one bill?
Yes. One bill carries the parotta by the piece and the salna by the bowl. After the evening rush the count of each tells you which finished first, and that is the one to make more of the next evening.
Some offices send back their steel tiffin boxes and others take plastic ones. How do I charge only for the plastic?
Make the plastic box an item with its own rate and put it only on the bills of the offices that take plastic. The offices that send their steel boxes back pay for the meals alone, and the box count falls only for the plastic ones.
Cooking gas and UPI: two worries of Kerala's hotel owners in 2026
The Kerala Hotel and Restaurant Association said its members would stop accepting UPI payments above Rs 2,000 from 15 October 2026, in protest at proposed UPI charges. A hotel that follows this takes cash for the large table, and a hotel that does not still has to know how each table paid.
A one-time rise of Rs 993 in May 2026 took a 19-kg commercial LPG cylinder to Rs 3,085 in Kochi, and Kerala hotels called a shutdown for 6 May. For a hotel that runs on gas all day, a jump like that changes the cost of every plate within the week.
