Billing for your stationery and book shop in Chhattisgarh

Notebooks for a whole class, a pen for a child and the photocopier's pages, all billed on your phone.

Why the shop's order dates are written for last year's session, and lamination jobs get lost on the shelf

  1. The shop's order dates are written for last year's school session

You order notebooks and bags in the months before the schools open, and the dates live in your head from the years before. When the school calendar shifts, nobody tells the shop, and the first week of the rush finds the shelf bare while the previous session's stock sits in the back. A guide that is out of date is not returned to the wholesaler for money, so the shop carries the loss for a year.

  2. Lamination and spiral binding jobs left on the shelf with a slip

A student leaves a certificate to be laminated and a file to be bound. You write her name on a slip, put the jobs on the shelf and say come tomorrow. Tomorrow three students come at once, two slips have fallen behind the shelf, and the money for each job was never written down. The clerk of the school has a different total in his file, and you have a different one in your notebook, and neither of you can prove yours.

  3. The long summer break, when the counter has nothing to sell but photocopies

For weeks in the summer no child comes for a notebook, and the shop lives on photocopies and a few forms. The photocopier's count is a tally on the wall in pencil, written between customers. At the end of the break the number on the wall and the money in the drawer do not match.

Tools for a counter of notebooks, lamination and binding jobs

  • Bills on your phone

A lamination job, a binding job and a ream of paper on one bill, each at its own rate.

  • Daily reports

The day's lamination and binding jobs read at closing, beside the notebooks sold, so quiet days show what lamination alone earned.

  • Low stock warnings

The notebooks of one class shown as nearly out in the first week of the session, while the wholesaler can still deliver the next morning.

School towns and mill towns: where the guides and notebooks go

Schools open in every district of the state, and the children are the families of very different work.

  • Bilaspur is one of the districts, with Korba and Janjgir-Champa, whose weavers make GI-certified Kosa silk.
  • Mahasamund has limestone and granite deposits, and several small industries use the limestone.

From the last June rush read back to a shelf counted in the quiet weeks

  • The school year here is changing shape, and the order date moves with it

When the school year changes shape, the rush moves with it, and last June's days are not this year's. Open the days of the last rush and see the day the first notebooks went and the day the shelf thinned. Keep the days of the last rush as they were, and set this year's order by counting back from the new opening day, not from the calendar on the wall. A shelf that moves is a shelf that pays.

  • A lamination job billed twice: the advance on the day, the rest at collection

Make the first bill for the advance in the student's name when she leaves the certificate. When the job is done make a second bill under the same name for the rest. Both sit on her page, and the slip that fell behind the shelf does not matter. The clerk's file and your page agree line by line, and the grant that arrives clears one number and not two.

  • The Class 5 set and the Class 8 set, each counted by its parts

Where the school gives the textbooks, the set at your counter is the rest: a notebook for each subject, covers, a pen and the pencil box. Name each part by its class, so a mother asking for the Class 5 set is billed for Class 5 lines and the Class 8 stock does not move. When the first week of the session is over the phone shows which part of which set ran short.

Questions Chhattisgarh stationery shops ask

A student picks a coloured cover for her bound file from my stock. Does the cover come off my count?

Yes, if each cover colour is its own item. Put the cover on the job's bill beside the binding, and that colour's count falls by one. At the end of the week the report shows which cover colours went, so the next buy follows the students' choice.

In the summer break my only sales are photocopies and a few forms. Can I see what each earned across those weeks?

Yes. Make the photocopy and each form its own item, and read the break's days in the daily report line by line. The weeks show whether the copier or the forms carried the shop, and what they paid against the weeks the schools are open.

The school calendar has shifted. Do my recruitment guides move with the new dates?

No. School guides follow the school's opening day, but recruitment guides follow the job notices. Name the two kinds apart in the item names, and read each kind against its own dates. A recruitment guide is ordered when a notice comes, and a school guide when the school sets its opening day.

A student wants spiral binding for ninety pages, another for forty. Can the two have different rates?

Yes. Make a thin binding and a thick binding two items, each with its own rate, and bill the one that suits the file. The count of each comes down on its own, so you see which spiral to order.

A recruitment guide sold for three weeks after an exam and then stopped. How do I see that?

Every bill names the guide taken, so the days show each guide's sales week by week. A guide whose weeks fall away after the exam is one you do not order again.

The school session and its summer break

Chhattisgarh's schools reopened on 16 June 2026 for the new session, and eligible students were to get free textbooks, uniforms and bicycles. A shop then sells the rest of the school year's things: notebooks, covers, pens and the pencil box.

The state's session now runs 16 June to 30 April, with summer holidays 1 May to 15 June; from 2027-28 it will run 1 April to 31 March. When the session moves to April, the rush that falls in June now will fall in the first week of April.
